2. Hosting and server log files

This website is provided by our umbrella organisation EUROAVIA – The European Association of Aerospace Students and hosted by Hostinger (UAB „Hostinger“, Švitrigailos str. 34, 03230 Vilnius, Lithuania). When you visit the website, the server automatically records technical data in log files: IP address, date and time of the request, the page requested, the referring page, browser and operating system. This is necessary to deliver the website and to keep it secure. Legal basis: Art. 6 (1) (f) GDPR. Log files are deleted automatically after a short period.

3. Visitor statistics (Koko Analytics)

We use the WordPress plugin Koko Analytics to count page views. It runs entirely on our own server, does not use cookies and does not store IP addresses or any other personal data. Only aggregated figures (e.g. number of visits per page) are stored. Legal basis: Art. 6 (1) (f) GDPR; our legitimate interest is to understand which content is used.

4. Fonts

All fonts used on this website are hosted on our own server. No connection to Google or other font providers is established.

5. Contact form and e-mail

If you contact us via the contact form or by e-mail, we process the data you provide (name, e-mail address, message) in order to answer your request. Legal basis: Art. 6 (1) (b) GDPR if your request relates to a membership or a contract, otherwise Art. 6 (1) (f) GDPR. Messages from the form are sent to our association mailbox (aachen@euroavia.eu), which is operated by EUROAVIA on Microsoft 365 (Microsoft Ireland Operations Ltd., Dublin, Ireland). We delete your data once your request has been dealt with, unless statutory retention obligations apply.

6. Online membership application

If you apply for membership via our online form, we process the data you enter: membership type, name, date of birth, address, nationality, e-mail address, mobile number, university, field of study, semester, matriculation number and, for the SEPA direct debit mandate, the account holder, IBAN, BIC and bank name. In addition, the date and time of submission and your IP address are recorded as proof of your declaration.

Purpose: admission to the association, membership administration, communication with members and collection of membership fees by SEPA direct debit. Legal basis: Art. 6 (1) (b) GDPR (membership relationship under our statutes).

The application is not stored on the website. It is sent by e-mail to our association mailbox (see section 5); you receive a confirmation e-mail. In accordance with § 3 of our statutes, members’ data are forwarded to the International Board of EUROAVIA for internal processing. Bank details are used only by our treasurers to collect the fee and are passed on only to our bank (Sparkasse Aachen).

We store membership data for the duration of the membership. After you leave, we delete the data unless statutory retention obligations apply (e.g. 10 years for accounting records under German tax law). Applications that are not accepted are deleted within three months.
